The University regularly receives inquiries about students from parents and other family members. While we fully understand that families support their students financially and may from time to time have concerns about their wellbeing or their academic progress, under the General Data Protection Regulation, University staff cannot release any information about prospective, current, or existing students to a third party, including parents/guardians, without that student’s permission. In an emergency, University staff will contact the student’s next of kin without their permission if medical personnel advise that it is required. More on data protection.
Privacy and legal requirements:
- When LCC employees receive telephone or email enquiries it is extremely difficult for us to correctly identify the caller. We do occasionally receive calls from bogus callers/malicious calls and need to ensure the safety of all students. Therefore, we do not disclose any informaiton over the phone or an email.
- Written consent to disclose information to the third parties (including parents) must be indicated in the study contract. Contracts are kept in the Registrar’s office and if changed need to be made, a student must visit the Registrar. Only in cases when written consent is given, we may disclose personal information that includes student’s academic progress, results, timetable, exams, appeals, complaints, financial information, or contact details.
- Our privacy requirements are guided by GDPR (General Data Protection Regulation) and in most circumstances if staff disclosed personal information to a family member without their written consent, they would be breaking the law . Please understand that by not disclosing personal information we are simply complying with the GDPR.
- Our students are adults and our contract is with the student (regardless of who actually pays their fees or their personal circumstances). Our systems are set up to deal with the students themselves rather than parents.
- We disclose private information only to parents of students who are under 18. However, this information will only be disclosed in person when a parent’s ID can be identified.
What we can discuss:
We can tell you about our policies, our procedures, our calendar, what different terms mean, and our services for students, including financial, academic, psychological support. We may also be able to tell you about what options are available to students generally, for instance, if students are unwell, fail a module, or wish to change course. This information may help you to provide support to the student and to understand any issues that they are dealing with.
Concerns about a student’s wellbeing
The University takes its duty of care to students very seriously. We have dedicated staff in the Residence halls as well as in the Student Success and Wellness center. When we receive a call raising concerns about a student’s wellbeing, staff will try to contact the student, check on them, and ask them to contact their family. Depending on the circumstances, we may also encourage and help the student to use one or more of our support services or external services. Where the University is unable to make contact with a student and/or is concerned about a student’s safety, we may contact their nominated next of kin. The University also has procedures and staff in place to deal with students experiencing crisis situations. In the very few cases where a student is reported as a missing person, the University will always endeavor to cooperate fully and promptly with police inquiries.
